Sales process and CRM setup for small businesses whose leads go quiet

In three weeks, at a fixed price, your follow-up stops depending on memory. You get pipeline stages that match how you actually sell, templates your team didn't have to write, and a CRM set up in your own account.

A familiar month

The phone and the web form keep you busy. Quotes go out. Some customers reply, and some don't. The ones who don't get a follow-up if someone remembers and has a spare minute on a Thursday. By the end of the month, nobody can say how many quotes are still open.

More leads won't fix that. They'll go quiet in the same place. What fixes it is deciding what happens after every enquiry, and writing it down somewhere the team opens every morning.

HubSpot or Pipedrive?

I set up either one. HubSpot's free or Starter plan suits teams that want contacts, forms and email in one place. Pipedrive suits teams who live in the pipeline and want the simplest view of it every day. We choose in week one, based on how you sell rather than on features. Either way, the licence is in your name and on your account, and it's yours when I'm gone.

What the sprint delivers

  • Pipeline stages that match how a sale actually moves in your business.
  • Qualification rules, so the team knows which leads get time and which get a polite no.
  • Follow-up templates and cadences, deciding who sends what, on which day, and when to stop.
  • CRM setup in HubSpot (free or Starter) or Pipedrive, in your account.
  • One 90-minute team training, on your own pipeline and not a demo account.
  • A written playbook to keep, for the next person you hire.

Questions about sales process and CRM setup

Which CRM do you recommend?

It depends on how you sell. I work with HubSpot and Pipedrive, and we choose in week one once I've seen your process. If a spreadsheet would honestly do the job for a two-person team, I'll say so.

Do I need to buy software first?

No. Wait until we've picked. HubSpot's free plan is enough for some teams. If you need a paid plan, you buy it in your name and I set it up.

Will my team actually use it?

Nobody can promise that, and I won't. What helps is fewer stages, templates already written, and training on their own deals rather than a demo account. Someone also needs to check the pipeline every week, and the playbook names who that is.

Can it connect to our website forms and email?

Usually, yes. Both CRMs have their own form and email connections, and I set those up as part of the sprint wherever your website allows it. Custom development isn't included.

We already have a CRM, and it's a mess. Now what?

That's a fine place to start. I'll usually clean up the stages, fields and templates rather than move you somewhere new. If a move really is the better option, I'll tell you in week one, before the work is built around it.

How many quotes are open right now?

If the honest answer is "not sure", that's the call. I'll ask how a lead moves today, and we'll find where it goes quiet.
